Requests for Equipment and Services

  1. Requests for New Accounts and Changes to User Rights

     

    Requests for accounts for new members of staff or alterations to an individual’s user rights are a matter of high security, governed by the Data Protection and Computer Misuse Acts. In all instances such requests must come from the Head of the respective department. In some cases another member of the department may be nominated and identified to the IT Department in advance and by mutual agreement.

     

    For such requests a period of 2 full working days is required. Full details of any additional requirements (rights to Shared areas, Outlook public folders, Blackboard) should also be provided to ensure the request is carried out in full.

  2. Blackboard

     

    The IT Department is responsible for the creation of user accounts, the creation of courses (or the re-assignment of Instructors to existing (courses), and server administration. Enrollment of students to courses, recycling courses and uploading of course materials are the responsibility of each individual course instructor.

  3. Software

     

    Requests for new software either for teaching or office use must be submitted as part of the Annual Budgetary Requests which are compiled in association with departmental Heads. Please note that this software (if approved) can only be installed during the summer break. If software is required for the Fall semester, we must be in possession of the software by 1st July. This will allow time for testing and integration to the image that will have to be created or changed.

  4. Hardware

     

    Generally the only opportunity for the IT Department to provide new hardware is after the announcement of the new budgets and the subsequent submission of Annual Budgetary Requests . IT will consider all requests in due course.

     

    Please Note:

    Any software or hardware which is purchased without the approval of the IT Department will not be supported.

  5. Booking of the Computer Labs

     

    Computers are provided for student use in the ‘Computer Labs’. There are 3 labs in Richmond (Millichip, Library Seminar, and RTC3) and 3 at Kensington (all within Atlantic House). These are provided primarily for study use. Students using these labs for personal non-study related use will be asked to vacate the room during periods of high usage. There are also a series of rules that should be observed.

    • No Eating, Drinking, Smoking or Mobile Phones (applicable to both students and staff)
    • The ‘Ten Minute Rule’ - If a PC is left unattended for ten minutes, somebody else may logon
    • Do not enter labs when there is a class in progress
    • Please work quietly

    During normal term periods, academic staff may book the computer labs by contacting in Registrars. During the summer shutdown, requests must be sent to the IT Department via the IT Helpline. We require at least 7 days notice, including full details of its intended use.

    Please note that this is generally the busiest time of the year for the IT Department. Please also be aware that these machines are for student use and may be unsuitable for the purpose you require (e.g. staff training). In which cases, an alternative location may be suggested.

  6. Office Moves

     

    If IT equipment requires movement then full consultation must take place with the IT Department. Initial contact must be made via the IT Helpline. This will then be forwarded to the relevant member of the team who will contact you to discuss your plans. At least five working days notice is required, though a longer period of notice may be required depending on the size and nature of the move.

     

    Note:

    The IT Department will not be held responsible for excessive downtime caused by inaccurate information being provided at the time of consultation.

     

    Do not unplug or move any equipment without prior consultation with the IT Department. Any damage caused directly or indirectly by such actions may cause unnecessary expense which will be charged to your own department.

  7. Audio-Visual Equipment

     

    Please refer to Guideline for Booking AV Equipment & Services. When IT staff are covering the absence of Audio-Visual technicians only regular, pre-booked equipment will be set up. IT will not take any new requests. Please note that during these periods, IT staff must also cover their regular duties. Therefore IT-related work will take precedence over Audio-Visual requests.
